Refund & Cancellation Policy
Effective Date : 26 MARCH 2026
At Young Guns Trekkers, we understand that plans may change. This Refund & Cancellation Policy outlines the terms under which cancellations, refunds and rescheduling are handled for our trekking and activity programs.
1. Cancellation by Participant
Cancellation requests must be made in writing via email or official communication channels.
🔹 Cancellation Charges
- 15 days or more before the activity: 90% refund (10% processing fee applicable).
- 5–14 days before the activity: 40% refund*
- 1–5 days before the activity: No refund*
- No-show on the day of activity: No refund*
Note: For some activities/treks there will not be any refund and the same will be communicated.
2. Partial Payments & Advance Booking
- Advance payments are non-refundable unless specified otherwise.
- Remaining balance must be paid within the specified timeline to confirm participation.
- Failure to complete payment may result in automatic cancellation without refund of advance.
3. Cancellation by Young Guns Trekkers
We reserve the right to cancel or reschedule activities due to:
- Weather conditions
- Safety concerns
- Natural disasters
- Insufficient participants
- Government restrictions
🔹 In such cases, participants will be offered:
- Rescheduling to another date OR
- Credit note for future use OR
- Partial/full refund (case-dependent)
4. Rescheduling Policy
Rescheduling requests are subject to availability and must be made at least 5 days prior to the activity. One-time rescheduling may be allowed without additional charges (case-specific). Last-minute rescheduling is not guaranteed.
5. Medical Cancellation
In case of genuine medical emergencies, participants must provide valid medical proof. Partial refund or credit note may be considered at the discretion of Young Guns Trekkers.
6. Early Exit / Mid-Trek Cancellation
No refunds will be provided if a participant leaves the activity voluntarily or due to personal reasons after the trip has started. Any additional expenses (transport, accommodation, etc.) must be borne by the participant.
7. Weather & Natural Conditions
- Trekking and outdoor activities are subject to weather conditions.
- Changes in itinerary or cancellations due to safety concerns will be handled as per Section 3.
- No refunds will be issued for minor itinerary changes.
8. Refund Processing
Approved refunds will be processed within 7–10 working days. Refunds will be credited to the original payment method unless agreed otherwise. Processing fees, payment gateway charges or taxes may be deducted where applicable.
9. Non-Refundable Situations
Refunds will not be provided in the following cases:
- Failure to report on time
- Incomplete documentation
- Violation of rules or code of conduct
- Non-compliance with safety instructions
- Personal reasons after trip commencement
10. Transfer of Booking
Bookings may be transferred to another participant (subject to approval) at least 3 days before the activity. Transfer requests must include updated participant details and required documentation.
11. Special Programs & Custom Trips
Cancellation terms for customized trips, private groups or special programs may differ and will be communicated at the time of booking.
12. Force Majeure
No refunds or liability will apply in case of force majeure events such as:
- Natural disasters
- Pandemics
- Government restrictions
- Political unrest
However, we may offer rescheduling or credit options at our discretion.
